Can You Deliver RESULTS When Failure Is Not An Option? [Hint: Are You A “Choker” Or A “Big Match Player”?]

[Tip: This post is a Content-Repurposed version of a 2012 issue of my (now defunct) Public Speaking IDEAS newsletter. Even though the example used is based on public speaking, the ideas shared can be successfully applied in any other areas of endeavour]

In The Real World, Things Can Go Wrong – Sometimes Badly Too!

Even after we have done everything we think possible, to prepare ourselves for a speaking or project outing, one or more unexpected negative developments can still occur.

And it could affect upset us so much, that when we get on stage  (or client premises), the speech (or job) we have prepared well for before the D-day, might not come out as desired.

Possible Occurrences That Could Make You “Upset” – Before You Give A Speech or Do a Client Job

I discuss a few possible examples below. It goes without saying that there are  many others you may be faced with.

Know that the tips offered here can be applied to good effect in dealing with them as well.

1. BEFORE you have to go on stage :

Some years ago, I had to deliver a talk about 1 hour after I had engaged in a verbal (and near physical) exchange with my wife. It was so bad, that I left home late, and only managed to stop fuming minutes before I was called out to speak.

That took some major doing…but the tips I offer here made it possible!

Still another possibility:

You get some bad news via a phone call or SMS about a business deal, that’s fallen through. Let’s say you had been so sure you would win the bid. Imagine how deflated you would feel. 

Now what if this news got to you, say 30 minutes before you had to step on the podium to deliver a speech titled “Nothing Is Impossible” to a group of startup entrepreneurs. How convincing do you think your delivery would be?

Depending on your temperament, it can be quite difficult to avoid letting your bad mood spill over to your interactions with other people.

Think about the times you have been upset by someone at home. Were there instances when it happened just as you were on your way out of the house? If yes, how well were you able to handle yourself in relating with others, when you got to work, or whatever your destination was?

2. When You Are Already On Stage &/or Speaking:

Imagine that just as you are about to start (or while you are) speaking, someone shouts an embarrassing comment insult at you from the audience e.g. a heckler. If s/he hits a nerve or sore spot you have, your reaction could be anger, resentment.

In a separate article, I shared the story about how I flopped at the National Finals of a competition for young managers, because I could not find a particular (transparent) slide I wanted to use.

A Story That Illustrates One Way To Give A Speech When You Are “Upset”

Imagine having to give a speech just after UNEXPECTEDLY losing an election (for public office or otherwise). This situation actually played out in a movie I watched recently. A young US congressman had maintained an intimidating lead in the opinion polls, over an older candidate widely regarded by the public as no match.

But just 24 hours to the election day, a photo published on the front page of a national daily showed the young congressman carrying out a very naughty prank on colleagues when he was in college, caused uproar. There was no time for his team to react. He got roundly defeated in the elections by the other guy, even in his own state.

Once the results were in, he excused himself, and retired to the men’s room to rehearse his speech. He had previously prepared a speech to cater for (what was then) the unlikely possibility of his losing the elections. Faced with the reality that he had indeed lost the elections, he walked round the men’s’ speaking out the words to himself.

When he finally got on stage, he delivered the speech as is, but later added stuff NOT on the script. He told the audience for instance, how some of what had said about his personal philosophy was not really true, and had been added to the speech on the advice of experts and consultants.

He went on to say a lot more, which amounted to “Standing Psychologically Naked Before The Audience” – to paraphrase “Burt Dubin” – creator of the Speaking Success System™. The audience loved it, and the media raved about his speech, saying it was likely to make voters back him in larger numbers in the next elections.  Three years later, he ran again – and won.

What the congressman in the movie did was simple.

He used the setback of losing the election, as a psychological stepping stone to launch him into the future he desired. By refusing to let his loss UPSET him, and instead creatively adapting his prepared speech to “re-sell” himself to the voting public, he succeeded in making them overlook his college prank, and won them over towards his future campaign

.

You can do the same:

I would be the last person to say this will always be easy to do. But if one is to merit being called a “Professional” it becomes imperative that s/he be prepared to act like one, by developing the competence to effectively manage your moods, so as to ensure you deliver satisfactory performances, whenever you have to speak before an audience.

Before Speaking, Put AWAY Whatever Upsets You In “Little Mental Boxes”

One could infer that the congressman described above, probably applied a variant of this approach for his purposes.

In using it, I force myself to APPLY what I once read, about putting ANY worries one has, into separate little boxes in different corners of one’s mind

This is the method I use and it has repeatedly enabled me bring my feelings under enough control to ensure I have a good outing.

Indeed, it has enabled me function optimally in my interpersonal interactions in both my personal and work lives for over 2 decades now. In certain instances, close associates ( who are aware of potentially disturbing issues I’m dealing with) have accused me of  unmasking a “steely” or “unfeeling” side!

 

Doing so helps you free the larger part of your mind, from the potential distractions that dwelling on the upsetting experience could cause.

But you don’t stop there. Later on, when at the right place and time, you can re-open any of your worry boxes, and reflect on ways to eliminate their contents, without the conflicting psychological pressure of thinking about giving a coherent speech!

Believe me – this worry/mood management technique has worked for me, for many years now. And it has enabled me go out daily during many dark periods of adversity, to deliver outstanding presentations to individual and group audiences.

Many of the clients I won during those periods would NEVER believe me, if I told them the psychological circumstances under which I won them over back then.

Summary

My message, in essence, is that in order to increase your chances of succeeding, when you speak to others, you really need to develop the capacity to manage your moods, under ANY circumstances. Even when you are upset, train yourself NOT to show it. You will be amazed at the level of deliberate self-control and mastery that you can achieve.

The ability to do this, will equip you to deliver compelling performances more often, regard.

One positive implication of being able to function in this manner is that clients and/or audiences will come to perceive you as someone who can be DEPENDED upon to DELIVER when it matters.

When they need a speaker at short notice, for instance YOU will naturally come to mind ahead of other possible candidates!

Final Words: Will You Be A “Choker” Or A “Big Match Player”? WILL YOU be Able to Deliver RESULTS When Failure Is Not An Option ?

Reflect carefully on this question, especially as it relates to serving your clients, who will be depending on you to bring the expertise they believe you have, to bear in the event that a problem arises.

In the real world, things may not always happen to plan.

Sometimes they will go badly wrong. When that happens, you ability to stay firmly in control of yourself will determine how you end up performing as a speaker – or indeed as an expert in your chosen field!

In sports, people who are able to deliver under pressure are usually referred to as “BIG MATCH” players

Those who always seem to cave in as they get closer to high pressure, psychologically tasking game situations in Golf, for instance, are called “Chokers”.

So, which do you want to be called, in the mind of your clients, and/or audience members?

A BIG MATCH player or a “Choker”?

The preferable choice is obvious. But to be able to manifest the attributes that will get you thought of in that manner, you MUST work on yourself, and develop the CAPACITY to absorb the shock from events or experiences that could upset you.

You can start from today – right in your home, with the kids, your spouse and relatives – maybe the annoying brother, sister or mother-in-law? Or that difficult colleague or business partner at work etc.

Promise yourself that you will NEVER let anything they do upset you to the point that you actually transfer it to another social environment you have to be in later on. Learn to leave it behind in a little worry box in one small corner of your mind.

Keep doing it for long enough, and you WILL become able to speak IMPACT-FULLY, to ANY audience, even when someone just (tried to?) upset you!

PII 044: Successfully Influencing A Difficult Co-Worker, Colleague or Partner

In order to work with anyone successfully, you have to speak with him/her. But sometimes that can be easier said than done, because the person we have to work (and speak) with, could have a reputation for being “difficult”. Or he could be somone you do not like or get along with. How you handle that situation when it does occur, can be a crucial determinant of your success (or otherwise) in the workplace.

We all know the type (and some of us are like that). The ones who are unable to get through a day at work without getting into some conflict with a colleague, or even the boss. The kind who seem to take ready offence at anything that’s said to (or about) them.

Sometimes these individuals are competent and make valuable contributions in the workplace. However their abrasive dispositions could make them relatively unpopular with colleagues. As a result, outside work related situations which force co-workers to be with them, they usually tend to get left alone.

What If You Get Assigned To Work With One ?

There is a real possibility of this happening. And except you have plans to leave that job anytime soon, you’ll want to find an effective way to work successfully with that difficult person.

Refusing to do so, could jeopardize your career prospects. For instance, decision makers would doubt your ability to handle positions of higher responsibility, which require objectivity and interpersonal effectiveness.

A simple, easy and painless solution to this dilemma exists. I often tell people that I can work with the devil himself, if that is what it will take to get an important job I have in hand done successfully!

I say this based on concrete, and verifiable achievements I recorded during my time in paid employment. Starting as a graduate managment trainee in Guinness Nigeria, I gained rapid career advancement, up to senior management level by LEARNING to handle the few “devils” I came across.

I honestly believe you need to adopt a similar mental attitude too (The reference to the “devil” being – of course – figurative).

So Here’s What You Can Do, To Work Successfully With A Difficult Co-Worker:

1. Focus On The Job To Be Done:

For the period you have to work with this person, put aside (I did not say give up) your biases. Interact with him based on the issues arising from the work you have to do together.

2. Find Out What Makes Him/Her Tick:

With very few exceptions, all human beings, no matter how difficult or unpleasant they may be, will have certain things they love or that gives them pleasure. Find out what it is (or they are). This may not be easy. But it could be worthwhile. If you can find a way to identify what brings out this person’s good (or better) side, you can use that insight to achieve a better working relationship with him.

3. Speak/Act With Emotional Intelligence:

An emotionally intelligent person demonstrates empathy in her interactions with others. She is sensitive to the feelings of others, but will at the same time not hesitate to act assertively in dealing with abusive or duplicitous behaviour.

Right from the time you meet him, resolve to speak and act with active consideration for his perspective. Make it clear by your words and actions that you respect him, and will do nothing to undermine him.

Gently try to establish what concerns and preferences s/he may have regaring the work to be done. Try to put them into consideration when you interact with him/her subsequently. Make friendly conversation as often as possible – except s/he stops you.

Stay alert to opportunities that will present themselves, to gain his trust or win his confidence. Sometimes people like this will warm up to someone who demonstrates a level of competence they appreciate. When this happens, be sure to tactfully offer praise for his own demonstrated abilities where possible. Avoid being patronizing though.

Most importantly, stay away from individuals or groups who may try to start unflattering conversation about the difficult co-worker you have to work with, even if the latter is not present. It does not benefit you in any way, and will only endager the relationship/rapport you’re working hard to build.

4. Support Unconditionally, But Demand Commitment:

Give your unreserved, active and positive cooperation towards getting the job done with your difficult partner. However, it’s important to send out a clear message that you expect him to reciprocate.

Therefore, do NOT hesitate to call him to order if he fails to play his part with the required commitment.

Once the project has been successfully completed, you can go back, and “pick up” your biases and reservations about him again.

I would however say, from personal experience, that if you apply the above suggestions diligently, you’re likely to establish a decent level of understanding, with him, that your colleagues will not have. And this could help you maintain a friendly or mutually respectful relationship for the long term.

Master This Strategy, And Your Career Advancement Prospects Will Blossom!

If you make a success of working with difficult co-workers, as the need may arise, you’ll be living up to your commitment as an employee, to give your service to the level that justifies the salary you get paid.

But even more importantly, decision makers would consider you capable of adapting your communication style to influence those you lead, in order to achieve your workplace goal. And that’s an attribute required for success in managing people. If/when they have to pick someone for promotion (or to lead others) therefore, your name would tend to come up for consideration. It’ll only be a matter of time, before you get chosen.

TIP:

On a final note, when next you meet (or get told about) a “difficult” co-worker (or boss), try getting some “practice” in handling difficult people, by using the ideas proposed in this article, in relating with him/her. You’ll come away better prepared for the day when you actually get “assigned” to do the real thing. Goodluck!

To Succeed, We Must Help Ourselves – the Government Cannot Help Us

It’s time for us to wake up from our slumber as Nigerians and Africans. I mean that with reference to EACH of us an individual and NOT our collective identity as a people.

I am self-driven, and have always believed no one outside of me (and the Creator) can control what happens in my life. By implication therefore, I never wait around for anyone to do anything for me, and I certainly am never prepared to beg anyone to give me anything either.

Some have called me arrogant because of that. But that’s an incorrect interpretation of my disposition. I simply know myself well enough to be sure I do not need to act subservient or over-humble to anyone, in order to get what I want.

What you need to succeed in life is too get a sound understanding of how things work, and then use that understanding to go after your goals.

My philosophy is that I alone am responsible for moving myself forward.

The actions or in-actions of others are of little or no consequence. For as long as I remain focused and determined, and persistent in pursuit of my goals, with intelligence, and faith, I will be furnished with what I need to get there!

Guess what? THAT is exactly what has happened in my life from as far back as I remember.

Initially, especially during my time in the university and later paid employment, I did it intuitively, without conscious thought. It just came naturally to me. I just knew it worked to be that way,

But when I became an entrepreneur in 2002, and began to dig deeper into principles for success achievement, to deal with severe setbacks I faced, I discovered the Science of Getting Rich (SOGR) philosophy

It took me time to learn how to make it work (and I continue learning even now), but eventually I got the hang of it, and my ability to succeed with more predictability has since grown tremendously.

A good indicator that one has gained mastery in use of this philosophy, is when you are able to get results you want, even when others complain about general downturn in fortunes e.g. during a recession. That’s what Wallace D. Wattles, the late author of that little book promised.

The SOGR philosophy is what has helped me realize that EACH of us can become a viable agent of positive change and progress in his/her own area of influence. 

I have been succeeding doing just that, in my interactions with member of my target audience on and off the web, within and outside Africa.

It’s been amazing to see the results – and I know if more of us were to adopt a similar strategy, we would transform our societies for the better.

This is what happens in many developed societies. Everyday ordinary people taking control of their lives, instead of calling on the government.

They take action to create the opportunities they want, starting where they are, with what they have. If it means working completely alone for years, like I have done, they do it. Then when success begins to come, others join in.

If you feel you do not have the time, talent, training or resources, to do it, then look for ways to support others who are doing it, so they can be better equipped to succeed. Their success will still rub off on you and the rest of society. 

Let’s stop wasting valuable time waiting for government (or indeed “God”) to do things for us that we can – with focus, determination and persistence – do by and for ourselves.

I refuse to live my life complaining about what I lack because some government failed to do what it promised to do.

Instead, I wake up daily with the mental attitude backed by unshakable faith that ALL I need will be brought within my reach at the right time by the Creator, if I take regular/daily action towards it.

We can do the same thing.

Now don’t get me wrong. Applying the SOGR philosophy will come with delays, disappointments, setbacks and attendant lack/suffering. But all of that serves the necessary purpose of purifying you to EVOLVE to the superior state you are advancing into. Nothing good that lasts comes easy!

So, what matters is for those of us who are willing get the ball rolling, while those looking for ideas decide where to come in. Sooner than later we will succeed.

Today, I use advanced Excel-VB coding to build custom spreadsheet software that I sell internationally. However I first learned spreadsheet automation using Lotus 1-2-3 spreadsheet macro programming by sitting/watching Richard DOING IT in the Ikeja brewery training centre, anytime I was FREE – even during lunch breaks.

We never had a formal training session or class. Neither did he sit me down to lecture me on how to do it.

All he did was GIVE ME his laptop, to help with checking for formula errors in an app he was building for use by the company’s top managers in headquarters – AFTER he noticed my keen interest.

As time went on, I would sneak views at his coding interface in the app he gave to me. Then as my curiosity got the better of me, I began running bits of the code in isolation to see how they worked. At a point i began trying my hands at writing my own code.

Not once did Richard let on that he noticed I was becoming familiar with the macro programming he did.

But when I arrived in Benin Brewery, and his fellow expatriate there – Joe Sheehy (who was also Training Coordinator, like Richard) told him of a major challenge they had using the app for the Brewery’s Monthly Technical Review Report preparation,

Richard simply told him: “There’s a Graduate Trainee who just arrived at your end called ‘Tayo’ – he can help you with any problem you have.”

So it was that I was barely 2 weeks old in Benin Brewery, when I got called over to the Training Centre by Joe Sheehy.

Pointing to the computer screen, showing Richard’s app that I had spend many months playing around with in Lagos, he asked “We need to get the brewery report out before the deadline, but we’re getting some formula output errors in the reports. Rik tells us you can help us. Is that so?”.

I replied without hesitation “Yes/”

From that day on, my life would NEVER be the same again. Till I left that company, my passion for spreadsheet automation would open multiple doors of opportunities for me, to the extent that I earned VERY EARLY high level exposure at senior levels, in terms of assignments/secondments, that few of my peers could boast of.

The above taught me that no experience is ever wasted. That’s why wherever I find myself, I always HUNGRILY seek ways to learn new and useful ways of doing things that add value to others.

Someone defined luck as being what happens when preparation meets opportunity.

The way I see it, you can therefore increase your chances of getting lucky by DELIBERATELY making out the time and effort to improve yourself, in every single way you know will make you better prepared for the opportunity (or opportunities) you seek to achieve your life goals.

Doing that will leave you perpetually ready to SEIZE such opportunities, if/when they appear, making you seem “lucky” to others.

This is why knowing how to make money, even when you do not have any, is probably the most important kind of education ANYONE needs to function in today’s world.

The mistake most of us make is that we assume that we’re making money when we earn (or collect?) salaries in paid employment.

Sadly, nothing could be further from the truth.

PII 043: Be At Peace Even During a Recession: Learn How to Print Your Own Money

If there was ever a time that people needed to find ways to make more money with less effort, at less cost and in less time, it is today, NOW. But most do not know or see this need, even though they suffer as a result of their blindness to it.

In essence I’m saying many people lack the insights to understand how to go about getting more of the money they need, while doing what they are already engaged in, which is many cases is limited in terms of how much of their financial needs it can meet.

The first step is that people need to accept that what they already know, and what they already know how to do is NOT enough to help them get where they want to go financially.

That is the first and often the most difficult step that needs to be taken. Without it, denial will be a challenge that keeps such persons from seeing the reality.

Forget academic credentials and qualifications, or family histories, pedigrees or social affiliations. 

For every single one of us, there is today, a compelling need to develop sound understanding of how to make money without money – and with less effort, or resources than would normally be required in conventional situations.

This is my argument, and it comes from YEARS of studying trends in which I’ve seen the best “schooled” people with intimidating academic titles mess up royally as CEOs or top managers by stealing from companies entrusted to them,

I noted in a recent article that if conventional schooling was all we needed to succeed in life as adults, we would NOT have so many cases of highly schooled people engaging in stealing from their workplaces.

Today, we talk about office holders in public and private practice demanding for bribes or diverting company funds to personal use.

These are people one would ordinarily assume had received enough schooling to be CONFIDENT of their abilities to make money, and therefore not feel pressured to STEAL or do anything dishonest to get money they need!

Indeed, one would have expected them to show the rest of us ways to make money, and put that know-how to use in growing the brands they manage.

Instead many get kicked out for choosing to steal from the companies they were supposed to help make money: What a paradox!

The truth is that Robert Kiyosaki’s message that we need our schools to give us financial education; to teach us about MONEY (and how to make it work for us) is YET to sink into many people’s heads or minds.

Most of us are still too preoccupied with the idea that has been sold to us that all we need to do is “go to school and get a good education” – even when the so called education  excludes the number one thing we will live the rest of our lives chasing after.

Sadly, nothing could be further from the truth. Kiyosaki rightly notes in one of his books that salary earners only receive handouts.

It is those among them who take the step to GROW their money by learning ways to invest it PROFITABLY FOR THE LONG TERM (capitalized emphasis deliberate) that escape from that trap.

Usually, these latter individuals have their eyes opened early enough to see that they can build great wealth by using the salaries to finance their investment in projects (e.g. real estate) that yield lifetime streams of passive income.

So many approaches exist that can be adopted by persons in paid as well as self-employment.

But the one I LOVE is that which puts power to make money at will in the hands of the underdog, or disadvantage, unconnected person who has no money to start investing with.

That strategy has to do with the creation of Digital Cash Flow Generating Assets (DCFGAs) ™.

I have experienced what it feels like to NOT have any money with pursue my dreams or ambitions with. Indeed I have suffered the indignity, repeatedly, of not having enough money to meet my own personal needs, talk less of fulfilling my obligations to those depending on me.

Those experiences challenged me to THINK deep and hard to identify the best way to make use of my energy, time and intellect, towards being able to make money I need, to achieve any goals I have.

Today, I live with confidence because I know that I have the tested competence to PRINT my own money (to paraphrase Robert Kiyosaki from one  of his books).

I have the ability to use a unique set of skills I have carefully honed over the years, to make money anywhere I find myself.

But I continue learning at the same time; so that I can improve my ability to do this in ways that enable me make greater amounts of money. And that will be a continuous process.

What matters most is that I have cracked the code. I know what to do anytime I need money, so that I am NEVER afraid, neither do I ever feel desperate or pressured.

It is the aforementioned states of mind (fear, desperation etc) that make many otherwise intelligent, highly schooled people stoop to stealing from their employers.

It is what makes others demand bribes in serving clients at their workstations. They do NOT know how to make money to complement their fixed salaries, in any other way. So, once something happens that disrupts their financial stability, they readily cut corners.

Anyone facing this challenge in his/her life simply needs to get real and start LEARNING what is required to get out of that trap. I recommend reading Robert Kiyosaki’s books. They were the ones that opened my eyes.

Then I adapted what I learned from him, to suit the peculiar circumstances I had to operate in.

Today, I am at peace with myself. Even when there is a recession, I am always confident of my ability to make money.

I know what to do and how to do it. The time it takes to get results may vary at times, but I always do.

Reading This Ultimate Story of FAITH Can Help You Succeed Everytime

Many people claim to believe in “God”, yet their actions suggest that their willingness to act based on that belief they claim to have in this all-seeing, all-powerful being depends on how well what they are “required” to do conforms to what they are “prepared” to do.

The same thing applies to the way they react to what happens in their personal/work lives.

Especially when it’s (seemingly) “bad”.

The more “bad” it “feels” to them the LESS willing they are to BELIEVE it has anything to do with the WILL of the God they say they believe in, for THEM.

This is why most of them NEVER like to read stories like those of Job in the bible.

Suggesting to them that they APPLY lessons available from Job’s story during periods of adversity in their lives is therefore likely to upset them.

And YOU could end up being branded an enemy, or even a “devil”.

For them, their professed faith or belief in God is supposed to exempt them from such extreme forms of testing as those Job passed through, before he achieved his second level of breakthrough.

Or the prolonged and painfullly extreme form of suffering in isolation that Nelson Mandela had to endure for 27 solid years BEFORE he emerged from prison, and arrived on the world stage as an icon and living legend.

This unwillingness to pay the price to achieve what we want is why some of us cut corners and/or compromise so readily.

Too few people are willing to “stick with it” for the long term. They want quick success. Quick results. Quick benefits, Even as they want to invest LESS effort and LESS time to get all they want.

It is also why we betray one another so easily, making our societies today so susceptible to chaos. Causing those with potential to excel among us to fail and fall too often.

All this denies our societies the needed benefits of quantum leaps those people’s efforts could produce.

That’s why I LIKE Job’s story. A lot.

Job’s story proves that even when everyone stops believing in you and desert you, YOUR FAITH in the Creator’s purpose for you, coupled with your UNRELENTING self-belief and passion to achieve/succeed can make you unstoppable.

You can become one who turns around the worst looking circumstances of pain, lack and suffering, to achieve ANY goal you set your mind on.

Funny thing is you really don’t need to read Job’s story many times to know it well.

Once or twice will often be enough, because it’s details are so shocking, and compelling.

You cannot escape feeling the despair that must have engulfed Job. And you will definitely marvel as Job’s unyielding refusal to denounce the Creator as others challenged him to do.

That’s why I like his story so much. 

It’s the ultimate story of FAITH. The kind that “moves mountains” or makes the impossible possible!

I LIVE based on that kind of faith.

I do so because I recognise that even though I may be good, I am NOT perfect. Therefore I need faith  to help me get around any limitations my imperfections may otherwise impose on me.

And that’s why it is impossible for me to fail. Not now. Not ever.

No matter what comes my way, I will always find a better way.

Now, I want YOU to end by thinking of this article as being YOURS.

Read it as if you are reading your own words. Take ownership of the message for yourself.

Do that till it becomes a mental habit, and you WILL become like Job – unstoppable in your ability to exercise FAITH in God, and in yourself, to achieve ANY goal you set your mind on.

PS: This is not an article on religion. I simply made use of the Job story to pass a message across. Hopefully, I will succeed with at least a few of those who read it, and they will “go out into the world and MULTIPLY” by way of their unstoppable achievements :-)

In case you are a business owner who does not yet know that writing a book can help you, let me say this to YOU: I strongly believe EVERY person in business would benefit greatly by publishing at least ONE book in his/her area of knowledge expertise, specifically written to interest potential buyers of his/her products and services.

In this article, I offer some ideas you can use.

Let’s say you’re trying to promote your book and get it in front of as many potential buyers as possible. Note that I assume here that your book would have been well written, proof read, and have digital book covers available in high resolution.

Firstly, I say skip the traditional cost-incurring channels – at least at the start. Give yourself a chance to find out what works i.e. what potential buyers are looking for. You can then use that knowledge later to exploit any other methods that require (big) spending.

If you are in my part of the world, adopting this approach could save you “loads” of money – especially if you are looking to attract a worldwide audience.

Spreadsheet Automation Facilitates EFFORTLESS Data Handling, Analysis & Report Generation!

Sometimes people don’t really care about learning(or using) all the “cool’ advanced functions, formulas and techniques in the spreadsheet application they use for their work. They just want to punch in their relevant raw data – at any time – and immediately see the computed results generated by the spreadsheet in a manner that can facilitate their IMPORTANT decision making.

At times, they would prefer to click a button that says “Print ABC”, or “Print XYZ” report, instead of having to crawl all over the huge spreadsheet(and get “lost” every now and then), to highlight and print different report pages. Using a custom built data entry form to make data entries into 14 different cells in different parts of a table(at the same time/with one click) would, for them, be “heaven” compared to making the entries one at a time.

This article is meant for those individuals/businesses who sometimes experience a need to use their spreadsheets in the (somewhat “impersonal”?) manner described above, to get the results they want. That need would often arise out of their lack of requisite skills to get the spreadsheet to behave the way they want – or limited time to devote towards incorporating necessary automation to make it do so.

1. One good way to maintain and/or significantly increase your profits without raising your prices, is to reduce your Variable Costs(VCs).

2. You can reduce your variable costs by marketing more efficiently (getting more customers at lesser cost, AND maintaining them at lower expense). I once read an article that proposed a new parameter COCS: Cost Of Customers Sold or Served). This could be adopted as a Key Performance Indicator(KPI).

A DIFFERENT Type Of Automation

The approach to spreadsheet automation that I refer to, is one that seeks to provide functional spreadsheet automation alternatives for ANY spreadsheet user task(s). Typically, solutions like this would require the developer to study existing manual data recording, analysis and report generation systems, then plan – in consultation with users – for incorporation of automation into the spreadsheet to replace them, where possible.

Custom spreadsheet solutions which survive long after the developer has “left the scene”, are often those which users accept because they discover it – among other benefits – makes their work quicker and easier to do. That is why the best person to develop such solutions tend to be one who works in that area, and is therefore familiar with the way the manual system operates. S/he would have an “insider’s” perspective of the best way to introduce automation other users will readily adopt – even as it solves the identified problem(s).

In effect what I am saying is that companies which get the most value from spreadsheet automation(including using it to avoid expenditure on less adaptable commercial off the shelf applications) will be those which empower their users to routinely generate “in house” solutions. In such companies, you will find that only when the requirement becomes considerably specialised or complex, does the IT department get called upon to develop or purchase software solutions for user departments or functions with significant data recording and analysis needs.

So, (when considering the automation I speak about) do not think about spreadsheet documents containing one or two click-able buttons that allow a user print a page or copy some cells from one sheet to another. Instead, I want you to picture an application(or Entreprise Information System) that customises the appearance of your spreadsheet workspace(to take advantage of maximum screen capital available on your PC), and offers you custom “floating” data entry forms.

In addition, visualise it having dynamic query/report drop menu interfaces, and a variety of custom buttons: for navigation(within and between worksheets), printing, data EXPORT (as PDF documents or spreadsheet files), saving, auto-data filtering, auto-charts plotting, auto-backup of files, user login authentication (for documents with sensitive or confidential content) etc.

How A Well Known Corporate Multinational Used Spreadsheet Tracking/Automation To Repeatedly Cut Spending – And Increase Profits

During my graduate training(while in paid employment), I was redeployed from Guinness Nigeria Plc’s corporate headquarters training office(in Lagos) to the Benin brewery training department (in Edo state), where I was assigned the – additional – job of using a custom Lotus macros driven Variable Cost Analysis spreadsheet application to generate brewery reports for dispatch to headquarters.

The assignment was not an accident. Before being redeployed to Benin brewery, I had been involved in “validating” the numerous complex formulas in the custom Lotus 1-2-3 spreadsheet application during its development. The author – Richard Chambers – was at the time in charge(as Training Coordinator) of training new entrants, and upon discovering my keen interest in learning, often gave me his laptop to “proof” formulas, links etc. It was he who had told his counterpart in Benin brewery(Joe Sheehy) that I could help out with a problem they were having using the application. And I did resolve the problem – resulting in my subsequently becoming responsible for the reports collation using the application.

Variable Costs Control/Reduction was a strategy that worked extremely well for the company. Most memorable for me as a brewer, was the manner in which huge monetary savings/profit gains were made by successfully implementing variable cost reduction initiatives. For instance, a brewing ingredient switch was made to a more readily available local alternative which was many times cheaper, resulting in phenomenal savings and progressively increasing profit earnings even though the price of beer produced was not raised. This practice was routinely applied across the brewing and packaging processes in line with a well thought out plan.

To elaborate further: A one-page Variable Costs Analysis report sheet automatically generated by the custom spreadsheet application I earlier described, was a powerful tool used by top management to quickly assess performances of individual breweries. Among other benefits, the report made it quite easy to realistically compare sister breweries in different locations(even across countries) based on common denominators. Apart from summarising brewing/packaging materials in two groups –
“Over-used/Over-spent”(Losses) and “Under-used/Under-spent”(Savings) – on a monthly basis based on data entered, the program also automatically plotted charts showing trends over a 12 month period.

The VISITING head of the technical function only needed to look at the most recently plotted point on the chart (relative to preceding ones) for a Key Performance Indicator like
Cost per Hectolitres brewed(One Hectolitre = 100 Litres), to know if the brewery had stayed within the approved upper limit of spend(plotted as a straight line target across the same period) or not. Discussions would then take place based on identified “Exceptions”(which could be “good” e.g. savings made or “bad” e.g. monetary loss due to materials over-used), and “Actions To Be Taken” to correct or maintain observed performances agreed upon.

Spreadsheet Tracking As A Crucial Element For Business Development

There are ways you can use spreadsheets to record and track materials usages/stocks, product sales, and other business data such that discrepancies will be easily detected when they do occur. The use of spreadsheets when properly done, can help to uncover the cause(s) of “losses” in virtually any aspect of a business operation.

1. The Pareto Principle – Using spreadsheet tracking, you can easily apply the Pareto principle in deciding which of your income sources and expense channels(i.e. products and services sales) to focus on in order to maximize profits. Considering that you are most likely to use the same marketing/sales resources to serve your customers, it only follows that if you focus on your biggest margin selling products/services, you will get increased profits at more or less the same cost.

One Possible Application: Plotting a pie chart based on income contributions from all your products and services(daily, weekly or monthly), and reviewing the automatically computed percentages/visual pie slices, can give very illuminating insight.

The 80:20 Pareto principle is based on Pareto’s theory that 80% of the results one gets in a particular endeavour will be mainly due to 20% of areas to which one has applied efforts. In business this principle has been found to be true. Your data, properly converted into appropriate performance indicators, will show you where your largest margins come from. You can then channel more time and effort in that direction.

For instance if a company had five drink brands in the market but notices that Brand A, which has a profit margin of at least twice the others is in greatest demand, they could (a) focus production efforts on that brand, so that more bottles go out to trade (b) Apply Best Practice/Continuous Improvement initiatives that would result in lower costs of producing each bottle of Brand A so that even though the market price remains fixed, the company is able to earn increasing profit margins per bottle.

2. Sourcing Capital – For Expansion or Startup. You can make it easier for banks and prospective investors to back you financially and/or take the decision to buy into your business. Those already running their businesses will know that banks like to see detailed business records that show in real terms all aspects of a business’ performance. Without detailed and comprehensive spreadsheet tracking, it might be difficult to show this. Agreed there are software applications that capture most of these. However, sometimes, you want to highlight certain scenarios or trends in a way that an off-the-shelf application cannot accommodate due to the uniqueness of your need. It is in this regard that the use of spreadsheet tracking becomes relevant.

The intelligent use of spreadsheets, combined with the application of the 80:20 rule will help to achieve the foregoing and more. One does not need any expert to start doing these things today. Just take the decision to start keeping daily, accurate records and commit to analysing them. You’ll be surprised to find that you will soon become much more aware of how you’re doing and what aspects of your business you should focus on more to get better returns for your efforts – and you will be able to confidently supply verifiable/authentic financial data to back up any claims you make about your business performance to bankers or prospective investors.

Deciding What Spreadsheet Application To Use

This would ultimately be up to you. The big “fight” has always been between Lotus 1-2-3 and Microsoft Excel. I started out with Lotus 1-2-3 back in 1993 and learnt Lotus Macros programming(via self-tutoring). I eventually used this skill to develop – in my free time – various custom spreadsheet solutions(that were formally adopted for use in the departments I worked in as a brewer/manager in Guinness), before switching to Microsoft Excel in 2001. Subsequently, I developed my Excel Visual Basic spreadsheet programming skills (also via self-tutoring), because the company had chosen to adopt MS Office during the roll over to year 2000.

I believe using either of these two applications should not pose any problems for implementing your spreadsheet automation ideas. This is because both have always been “friendly”, towards making it easy for users to get more functionality out of them by way of custom programming.

You can choose to learn how to do it yourself – or call in someone(an Excel VB Solutions Developer for instance) who knows how. Again, this would be dependent on your purpose, how proficient you are, and/or how much time you have at your disposal. Ultimately, even if someone develops a custom application for you, it should happen with YOUR guidance at every point to ensure that it does EXACTLY what you want it to do, and that you can easily – with your developer’s support/coaching – learn how to make modifications to it in future, without needing to call back your developer.

This last point in my opinion is ONE major benefit you must seek to extract, if you choose to engage the services of a developer. S/he should be able to help you develop (in-house) expertise needed to maintain the application AFTER s/he is gone. If you fail to ensure this, all your cost-savings from using the application might end up being spent paying the developer to maintain the application over time in the future!

From this point on, I will refer to only one of the above mentioned applications, because it is my preferred work environment. That is Microsoft Excel. I believe users of other spreadsheet applications will be able to adapt whatever I say from here for use in their own peculiar environments.

Automating Your Spreadsheet Document : What is Excel VB?

Microsoft Excel is a powerful tool for recording, organising/re-organising, analysing and presenting information. By Excel VB, I refer to Excel VBA – where VBA means Visual Basic for Applications(VBA). VBA refers to the highly extensive and flexible macro programming language developed by Microsoft for use in their MS office applications – Word, Power Point, etc.

VBA is therefore different from the Standalone Visual Basic program used(by professional programmers) for developing commercial quality software applications – though it borrows many of the latter’s features. Think of Excel VBA as being the standalone Visual Basic software, built into Excel for the benefit of Excel users who are not necessarily programmers, but who are keen to exert more control over the application.

So, Excel VB offers any interested users the necessary tools to make the application deliver more functionality. The final product is still an Excel document, but with extra functionalities added using VBA.

Why Excel Visual Basic – and NOT Visual Basic?

1. I always answer this question by asking the following question: What would be the point of “Killing A Fly With A Hammer”?

Let me elaborate. If a method is available that allows us to achieve the same desired result(s) at LOWER cost, with LESS effort and in LESS time, why should we fail to adopt it?

Certain IT persons insist that developing executable applications using the standalone Visual Basic programming language is “better” as it does not limit the user to a particular user application software environment. I concede that this might be a valid point under certain conditions. However, I point out that there are many users who have peculiar needs that do not necessarily require complex solutions.

A lot of people today simply want to get their data recording, (re)organisation, and analysis for decision making done quicker and with less effort. They also want to spend as little money as possible to do this. In other words, they want a cost-effective solution that gives them independence from the solution provider in the long term – without requiring them to undertake laborious skills acquisition immediately.

This category of everyday users of technology described above are the ones I believe need Excel VB solutions of the type I describe. One expects that some of these users will over time develop an interest in acquiring advanced skills needed to develop their own solutions in future – which is why I also encourage them to do so, possibly via self-tutoring, like I did.

2. Another question I ask, in answering the “Why Excel VB?” question is : “Why re-invent the wheel? ”

My experiences(and those of others who favour the use of Excel VB like I do), confirm that to organise, and analyse data for (financial/management) report generation and decision making, you will save hundreds of hours using already in-built, pre-programmed Excel functions compared to a situation where you used Visual Basic proper.

All the functions needed to achieve the above purposes already exist in Excel, so that you don’t have to write them all from scratch as would be the case if you were to use Visual Basic.

3.It works even when you lack “In House” expertise

For the purpose of creating custom financial and business management solutions that solve your identified problems, and give you control/ownership, without burning a hole in your pocket, Excel VB offers an amazing variety of possibilities, in the hands of an adequately skilled user.

In addition, an Excel VB developer( who in many cases will tend to be a user turned developer, and is therefore likely to easily see things from your perspective) – unlike a programmer – is more likely to be positively disposed to working with you to ensure the application meets your practical needs. S/he will readily understand that the final application is meant to help solve a real problem(s), and will therefore build it to match those expectations.

It’s not enough to have a professional with the technical skills to solve your problem. s/he also needs to have the right attitude and background/experience – else the relationship will not work. This is where an Excel VB resource is more likely to add value to you. Most Excel VB Developers have backgrounds in management, accounting, engineering and other fields, which further equips them to be useful to you in “thinking up” better ways to apply your spreadsheet automation to get the most value for your business. You therefore need to choose the right developer, with the appropriate background to match your needs.
I believe the foregoing are compelling justifications for choosing Excel Visual Basic over Visual Basic.

Get Maximum Returns On Your Investment In Spreadsheet Automation By Developing “In House” Expertise

Organisations can deliberately expose their employees to learning events(or self-help tutorials) on spreadsheet solutions development. Such employees can then be challenged to develop in-house solutions that effectively address the business’ peculiar data analysis/report-generation needs as they arise.

A person with proven competence in this area CAN become “notorious” for developing spreadsheet applications, which eliminate drudgery from the process of using MS Excel to handle large amounts of data. Typically, work that takes hours or days will suddenly take minutes or seconds to finish.

The claims I make above are NOT exaggerated. They are in fact based on my personal experiences doing the foregoing (a). As an manager in the challenging, fast-paced manufacturing work environment of a corporate multinational (b). As a solutions developer for individuals and businesses who use MS Excel for their work.

I am keen to encourage individuals and organisations to explore using advanced MS Excel formulas and functions, in conjunction with Excel VBA programming, to develop customised spreadsheet applications that will solve typical problems end-users encounter daily in trying to record/analyse data and generate reports.

The savings – from using your “in house” expertise – in terms of money and man-hours alone, will quickly justify the investment you make in “developing the needed skills” – especially, when you compare what you spend with the cost of purchasing a commercial software application – or even engaging the services of an Excel VB developer.

Summary

The key imperative for most people who handle business data is often “how to use it” to monitor – and where feasible – control performance i.e. they study/anticipate trends in a way that helps decision making towards ensuring REPRODUCTION of desired results, while minimising – or eliminating – undesirable ones.

You CAN transform the way you manage/analyse data(or generate reports) in your business today – and get more usable benefits to the extent that your profits increase. One major step you can take towards achieving this purpose, will be to intelligently use spreadsheet automation to improve data handling/analysis and report generation systems in your business operations – while empowering yourself and/or staff to acquire skills needed to maintain the developed spreadsheet solutions for the future.

Many people today, who have undergone formal schooling, do not have life survival skills, having only acquired learning for school (i.e. academic education), which they do not KNOW how to apply usefully in the real world.

We already know from years of recent history that it is no longer necessarily those who do well in school that go on to achieve success in life. It used to be so, when paid employment was the primary destination for people who finished school/learning.

In today’s technology enhanced world, anyone with the ability to quickly acquire new skills and create/add tangible VALUE can become successful in virtually any area of endeavor s/he ventures. The skills required for survival and success have LONG changed. All around us today for instance, we see school dropouts employing university graduates.
