How To Introduce Changes Without Confrontation (True Story)

This article uses a true story to illustrate a practical example of how to successfully introduce needed change, without causing conflict – even when you face resistance or opposition.

“Look Oyat, you can’t computerize everything! This is the way we’ve always done it. And that’s how you will do the reports this weekend!” said Ed, the veteran manager with a tone of finality.

And that ended a discussion initiated by the new ex-graduate trainee – Oyat – who had just joined the department. Ed was in charge of things while the departmental head was away. So his word was final.

Oyat shook his head in confusion, wondering why his senior colleagues who should know better could not see reason. His proposed use of spreadsheet automation would replace the cumbersome manual reporting processes they took turns to do weekly. And they would all be better off for it.

He had anticipated this. It was not that they had any personal grudge or issue with him though.

It was just that the manual calculator based method was what they were trained on, and had grown accustomed to. And like normal human beings they felt uncomfortable with any new idea that threathened to disrupt the mastery they had already established.

Who Wants To Use A Calculator, When A Spreadsheet Is Available?

When he was told it was his turn to do the weekly reports the day before, he had however not been keen to do it the old fashioned way they all seemed so comfortable with.

The time he’d spent with his “spreadsheet automation hobbyist” training manager had opened his eyes to the possibilities that existed for rapid reports preparation.

Unfortunately, at least for now, it was obvious that he alone appreciated the benefits to be had.

But he knew he could convince them to change their views, by showing them proof that what he proposed was indeed a better way.

So, on that day, he resolved to begin building spreadsheet equivalents of the daily manual record books, as well as the various reporting formats used in the department.

Oyat realised he would be better off starting the process by himself, and gradually introducing it to the others individually.

He already knew talking to them to get their involvement or cooperation was almost a taboo. So he began posting the daily manufacturing data needed for preparing the weekly and monthly reports into the equivalent spreadsheet entry tables he’d designed.

Quietly Preparing Proof To Convince The Others

Each day, he used his free time to collect other needed factory records from other departments, and the laboratory. Then while on duty, especially on night shifts, he would post the newly collected data into his experimental reports automation spreadsheets.

At each weekend, he quietly tested the formulas he had built into his spreadsheet based weekly waste computation report and factory output reports. He would compare the results from his spreadsheets with those accepted for official reporting based on manual calculations done by the duty manager.

In most cases there was close agreement between the numbers. And Oyat could not help noticing how easily he was able to generate his ready-to-print computer version. That is when compared to the tedious process his colleagues had to follow to achieve the same outcome.

One error meant they had to go right back to the calculator to repeat the weighted average computations!

In contrast, Oyat only needed to correct the wrong data entry in his linked spreadsheet table, and the dependent formulas in the report would be instantly updated.

Over time, especially as he became sure that they worked correctly and accurately, Oyat added intelligent maro automation to make it easier for users to update the spreadsheets without needing special spreadsheet training.

He knew that by adding the user friendly graphic user interface controls, it would be easier to convince his senior colleagues to give it a try.

Introducing The Proposed Automated Spreadsheet Alternatives

Eventually, after one month of privately testing the spreadsheets, he began introducing the automated spreadsheets to his senior colleagues individually.

Within a few weeks, most had become curious enough to begin using them alongside their manual systems. Then, as they saw that the output from the spreadsheets tallied with what they derived via manual computation, they gradually embraced them.

What made it even more appealing to them was the speed with which they saw that they could finish their jobs: within minutes, instead of long and tedious hours!

The Changes Are Adopted!

A few months later, the transformation was complete. And it became normal to see each manager sit behind the PC and post data updates, then print out relevant reports for dispatch to decision makers.

To be fair to him, after finally seeing the benefits of the new system, Ed made a point of formally acknowledging Oyat for his initiative and tenacity.

But if there was one thing Oyat was grateful for, and which had driven him to develop the alternative system, it was the removal of the need to prepare reports using those painfully time consuming manual methods.

To achieve that goal, he’d wisely recognised that he could not force his ideas on others. Instead, he had to provide them with proof that would convince them to accept the change. And he did that successfully.

You may find it useful to employ a similar strategy.

But all you do is go right back to chase your dream or goal…or obsession

You Don’t Seem To Know When You’re Beaten

Each time they’ve seen you get knocked over by repeated devastating setbacks, you have miraculously gotten back up, against their expectations!

But what they fail to realise is that each of those times, it was not you.

It was the power of your dream.

That insane obsession of yours. It’s given you an amazing ability to withstand the hardest knocks and bounce back in little or no time to resume right where you left off!

They do not know you are now firmly under the intoxicating influence of your magnificent obsession.

Before now, when you were just starting this journey, it was YOU who had to keep yourself going inspite of failures, temporary defeats, prolonged periods of intense anxiety, and other forms of adversity.

Back then, YOU had to muster the courage to continue, to grit your teeth and push back harder against those frequent negative experiences that kept befalling you.

You had to pass those shrewd tests of your resolve by the forces of nature. Eventually you broke through, and began making headway towards your valued goal.

You Celebrate Baby Steps of Progress – To The Amusement of Others!

It always amazes those around you, that just one tiny inch of progress you achieve at any time readily gives you unbelievable pleasure and sense of accomplishment.

Those baby steps taken closer to your dream mean the world to you, though others around you silently think they make no difference to your situation!

But that’s because they cannot see what you see. You’ve been doing this for a while now, and your conviction rather than waver, has grown stronger, because the faint visions of the future that you’ve been having, have since become much clearer.

And now, having kept at it for so long, the life purpose you pursue (which in some circles is called a Magnificent Obsession) now drives you, instead of you having to chase it!

You now instinctively sense the right way to think, and act, to make progress to the next stage. It’s almost like you’ve become psychic.

Where it concerns making progress towards your dream, you just seem to KNOW things without being told.

And sometimes very strange and powerful coincidences – consistent with needs you’re nursing – sometimes happen to the total amazement of even those who doubt you!

Your Success Is Close By

All of these happenings can be a little scary, but at the same time you find them reassuring.

A voice inside of you tells you this is a new level of self mastery you’ve arrived at.

Your persistence has paid off in form of a higher ability that now equips you to continue – more intelligently – in pursuit of your dream.

It won’t be long now, before the others, including the doubters – and especially the haters! – see that you have indeed arrived – and by so doing proved them wrong about you.

That’s why the last thought that should cross your mind right now is giving up, or quitting.

If you do that now, you’ll be kicking yourself for the rest of your life…or until you “kick the bucket”!

Learn To Accurately Evaluate Clients

Finding new clients and customers is an important activity that should never be neglected. However it’s also important to develop the ability to accurately identify clients that will be a good fit for you as against those that will limit your ability to give your best on the job, and in the process deny you the satisfaction you derive from your work.

They’re Everywhere – But Mostly In Few Numbers

These personalties can be found in all markets, industries and niches. They’re not bad people. They only nurse extreme preferences that can be too demanding or that they are unwilling to pay enough for.

Service providers who encounter them often have emotional and psychological scars to show for it.

To be fair to most of them however, they rarely hide their true nature from us. The truth is that many of us sometimes become a bit blind to all the warning signals they unconsciously give off when we get into sales mode :-)

I’ve been guilty of this on more than one occasion. And I’ve suffered considerable distress EACH time as a result.

Now I’m wiser, having learnt my lesson.

Be Alert To The Signs Of A Difficult or Troublesome Client

Even when the money being offered is mouth watering, it pays to try looking beyond the present.

Visualise what working with the prospective client to deliver the purchased service will be like.

Imagine having a prospective client tell you he knows just about everything to know about the expert service he’s asking you to provide. And therefore he does not see any reason to pay anything close to your quote fees.

“It’s just that I no longer have the time to do it myself” he says.

Of coure he could be right, since it is quite possible he could have the training and experience to do what you do.
However, you need to remember that if he had the time to do it without involving you, he would not have called you in!

And THAT is the value you’ll be adding, in addition to bringing your unique skills set and experience to bear on work to be done. The keyword here being “unique”.

But it could be worse!

What if you take the money and then find that he wants to micromanage you in a manner that would make it difficult for you to do a good job within the agreed deadline, for instance?

He could insist on reminding you at every opportunity that he has paid, and that he’s seen nothing you’ve done so far, to justify your fees!

Quite often the idea would be to pressure you into doing more work than was agreed for the money he paid.

How you handle such requests from the start will set the tone for your relationship with that client.

Just remember that as an expert service provider YOU must maintain control over what happens to you, and the project (while you’re handling it), without rubbing it in the client’s face.

Always assert yourself like the confident professional you are.

Not All Sales Leads Are Worth Converting! (A True Story)

A few years ago, I got into discussion with a hotel manager who wanted me to make my Hotel Records Manager ExcelVB application communicate with their newly installeds electronic security doors system computer database. This was to enable automated hotel billing records preparation for registered guests.

After I demonstrated it was possible to the manager, we had our final negotiation meeting, and I picked up my advance payment cheque, only to see that it was half what we’d agreed.

When I asked the hotel manager why, she told me that was what they could afford. I replied that I could not afford to work that way.

Long story short: I returned the cheque, and walked away. Jobs like that often end up choking you to death.

They want to pay little to nothing, but they’ll demand you put in everything…I’d learnt from painful past experience to walk away…:-)

Final Words

So many bad things can happen to us when we choose our clients wrongly.

That’s why we must hone our abilities to quickly and accurately evaluate the behavioural tendencies of those we approach for business.

Their character will quite often show through in the way they relate with others.

Use what you learn from observing (and interacting with) a prospective client, to guage how easy it will be to get him to say he’s satisfied with the work you’ve done.

Like I said earlier, they hardly ever bother to hide their tendencies.

And even if they wanted to, human nature would not allow it: As the proverbial saying in Yoruba language goes

“Character is like smoke. No matter how hard you try to keep it hidden, it always finds a way to show itself.”

So keep all your senses alert when interacting with prospective clients. You’re likely to save yourself a boat-load of potential client trouble by doing so!

Make Your Best Talk The NEXT One!

In this issue of my speaking IDEAS newsletter, I highlight the need to avoid getting carried away once you begin reaping success from your speaking efforts.

Success – No Matter How Small – Can Be Intoxicating If One Is Careless

There is something intoxicating about success, no matter how small.

My 79 year old father recently told me in a moment of deep reflection, that suffering and hardship fade rapidly from the human mind once we experience a little relief.

I agree.

That probably explains why persons who go from rags to riches can often be prone to losing their wealth: their success blinds them to the memory of the hardship they’ve passed through. And they end up not taking enough precautions to avoid having a repeat of such experiences – with sometimes disastrous consequences.

When some people are struggling to get by, and living from hand to mouth, they are unlikely to spare a thought for luxuries like flashy clothes, expensive cars, parties or other pleasures.

However, as soon as a little success shows up at their doors, they begin acting out unhealthy fantasies e.g. buying flashy cars, eating/dressing expensively, becoming loudmouthed etc.

They eventually get into one trouble or the other – through financial indiscipline, bad relationships, extra marital affairs and so on. And while doing all those wrong things, they would have neglected to improve themselves – leading to eventual failure.

Some are able to recover from such setbacks and do a better job of managing their success the next time around. Others are not so lucky.

We’ve all heard the stories before.

You Need To Know Where You’re Going

As stated above, some people achieve local fame and success, and immediately lose their focus, and sense of moderation. As human beings, we are prone to making the mistake of getting carried away when things are going well for us.

It is however much better to think ahead, and envision where you would like to be in the distant future in your business. This way, even when you achieve your victories/short-term goals, you will be able to stay focused on maintaining your performance to achieve the longer-term goals.

When you work this way, you will be much less likely to fall into the common trap of getting carried away with your successes.

Keep Yourself Relevant And Up To Date

“Just like a movie star or musician, your potential value to your target market will be judged to a considerable extent by your past accomplishments and especially, your latest works.” – Tayo Solagbade

Successful businesses constantly work at renewing and reinventing themselves. They know it’s the key to staying successful.That’s why we hear of new products, new versions, new packaging, new content, revised versions, latest updates, free upgrades etc.

The need to improve on what exists is crucial. You must cater for new developments and needs that have arisen over time.

Don’t make the mistake of taking your last awesome speaking outing to signify your arrival (even if it is). Aim instead to surpass your own achievement.

Break your own “records”! Do that to make a definitive statement to potential clients – and more importantly, your competitors. Let them know that you’re NOT done yet…that there’s still a lot more where what they’ve seen comes from.

You may wish to do this for reasons I’ve already outlined above in this piece.

You may also want to do this because every now and then, decision makers may ask if you have “anything new” that fits the theme for their forthcoming event.

Hopefully, you’ll be able to answer YES each time. Otherwise, you’re headed for the obsolete speakers’ hall!

Use a Schedule To Write Faster and Smarter

Virtually all serious writers know it’s not easy to consistently come up with new write-ups that their target audience will appreciate.

And that’s why many are constantly on the lookout for ideas to overcome or minimise the above mentioned challenge.

I Am No Exception.

I’ve also experienced the challenge of struggling to generate new content that would be considered valuable by potential clients/customers and readers in general.

For years I drew inspiration from happenings around me, to come up with new content for my work.

Sometimes I came up empty. On such occasions, I would really struggle to get my writing done.

It’s a testament to the passion I have for what I do, that I kept going for so long.

So much so, that I eventually began reaping financially rewarding benefits as a result of my writing e.g via sales leads for my feed formulation software/handbook, direct sales of my print/electronic books from my online store etc.

Today, I No Longer Struggle To Write Like I Used To

Something has changed – and for the better too.

Ever since I began following a publishing schedule (based on 6 different categories, at one per day) on my blog, everything has simply fallen in place.

I now have an amazing degree of clarity about what to write about. It’s so much easier to narrow down to potential topics when the categories have been defined.

In addition, I am able to do the actual writing quickly and almost effortlessly because I would often have spent time thinking up useful points to go with my chosen topic before it falls due.

Most importantly, writing according to a schedule has enabled me progressively build up my library of written works based on the set categories.

This now gives me added motivation to write more, since I plan to periodically publish ebooks for sale on each category using a compilation of selected write-ups. Each write-up will probably be treated as a chapter in the ebook.

I know from past experience that this works, having used the same strategy to get my 25 Articles Ebook published.

Final Words

What I’m saying in essence is that writing based on a publishing schedule will get you to be more committed to your writing responsibilities.

It will also make you more consistent in producing good quality content over time.

Considering that less than 3 months ago, I did not believe in using a schedule, what I’ve said here should be worthy of consideration by any writer in search of viable ways to boost her writing productivity.

Succeeding As a Parent Requires Repeating Yourself

If you don’t like having to repeat yourself again, and again, maybe you should not plan to have kids anytime soon! Your child’s development of a healthy level of self esteem, and ultimately her ability to succeed, depends greatly on your understanding of the points I make in this article.

Adults Often Forget They Once Had To Learn To Walk Too

As children, and later as young adults, many mature persons today passed through various stages of growth and development. I mean that in the physical, intellectual and even spiritual sense.

It’s however interesting that once we’ve achieved reasonable competence or mastery, we often completely forget there was a time when we also did not know, and could not do stuff we are now so familiar with.

This is frequently reflected in the impatience we display in relating with others (young, and sometimes not so young) who have yet to reach our level of proficiency.

When your child makes another mistake while washing the dishes or struggles with elementary math homework you expect him to grasp easily, how do you react?

Especially if it’s happened a number of times before?

How long does it take you to get tired of “helping” her overcome that challenge?

Is there a point at which you’d write her off as being “untrainable”?

I hope not :-)

Parenting Is Easier Said Than Done: Repetition Is The Key

It’s funny, but some parents sometimes out of frustration speak to, and about their child as if they’ve given up on them. But they later recover themselves.

I’ve been guilty of the above crime against my first child in a moment of passion. And I’ve seen others do it too. So I know it can happen.

What’s crucial is to ensure it does not repeat itself.

The truth is that giving parenting advice or talking about raising kids can be so easy to do. Most adults intuitively know what to do in many situations.

What I’ve however learnt (and I say this from painful personal experience) is that DOING it over the long term can be a test of one’s endurance.

With children especially, constant REPETITION – like my mother who taught kids for 30 years before retiring would say – is the foundation on which any nurturing you want to give your child must be based.

If you think there’s a predictable number of times you can tell a child something and expect her to “get it”, you’re setting yourself up to be disappointed :-)

This is where the love you have for your child must come to play. You’ll need it to inspire yourself to keep telling and helping her, as she trips, stumbles and fumbles her way to achieve required mastery or competence.

What You Can Do

Here’s an idea: Think back to the times in your life when you had to learn whatever your child is struggling with now.

Except you were born perfect, it’s likely you recorded your own fair share of mistakes before you achieved proficiency.

Tell your child about your own failures back then. Recall for her benefit the pain, frustration and embarassment you felt each time you got it wrong.

Then share with her what you did to gradually improve, until you got it right.

You will do this to help your child appreciate that it’s normal and human to have to initially struggle to learn before becoming capable and competent in any area of endeavour.

Once she achieves that understanding, and also sees that you show your belief in the above truth by continuing to provide your loving support, she’ll be more willing to see the process through.

Bad Things Can Happen If You Don’t Take The Above Preventive Action

If you fail to do the above, your child will be forced to conclude she struggles because others have something she lacks, and which she has no hope of developing.

And that mental attitude can make her decide to cut corners – in homework or exams for instance – to get the needed results, believing she’ll never succeed by her own efforts.

The danger here is that corner cutting is often easier than doing the real thing. So it gradually makes those who do it lazy.

Whenever they’re challenged to go the proper way, they’re likely to think as follows:

“Why should I do all that hard work, when I can get the needed results easily without breaking a sweat?”

Once a child develops such a dangerous love of ease, you as the parent could be in big trouble.

And that’s because your child’s actions would be driven by a need to get something for nothing, which sooner than later could get her into all sorts of trouble academically, socially etc.

That’s why you need to pay her close attention now, to help her develop the right attitude to learning, to difficulty, to failure, and to life in general.

Your entire family’s future well being and happiness could depend on this.
