PII 028 [Case Study]: Using Excel-VB Automation for Smart Hospital Records Management (Featuring: A Custom app built for a Lagos based Medical Clinic)<\/h1>\n

The Typical Situation:<\/strong><\/h3>\n

A patient comes in complaining of a fever. Nurse asks for her \u201ccard number\u201d. Patient replies that she can\u2019t remember. Nurse takes patient\u2019s name, and begins sifting through shelf on which patient\u2019s cards are filed.<\/p>\n

Shortly after, nurse asks: \u201cwhen last did you come for treatment?\u201d. Patient replies: \u201cI\u2019m not sure \u2013 I think it was May this year\u201d, then she adds \u201cPlease nurse \u2013 hurry!\u201d. The nurse replies: \u201cSorry, but I need to find your case file\u2026etc\u201d Eventually, the case note is found, the patient attended to\/treated and leaves.<\/p>\n

The Problem:<\/strong><\/h3>\n

This is a common experience for many people in most \u2013 if \u2013 not all \u2013 medical centres\/hospitals across Nigeria. Sometimes the time lapse between when a patient arrives and when their \u201crecords cards\u201d are successfully retrieved for the Doctor\u2019s attention can be quite long. Such avoidable<\/span><\/em> <\/strong>delays can cause great frustration or even worsen the patient\u2019s health problem.<\/p>\n

The Viable Alternative:<\/strong><\/h3>\n

A computer pre-installed with Microsoft Excel (and the rest of the MS Office Suite) is easily acquired today.<\/p>\n

Using MS Excel, a simple, yet extremely functional Custom Automated Excel Spreadsheet application can be developed. The application will run in MS Excel, so you would not need to incur any additional costs via purchase of some prohibitively priced off-the-shelf app, which may not be easily modified to suit unique needs of some facilities.<\/p>\n

The custom Excel-VB app would be easy for anyone (nurse, doctor, clerk etc) to use in posting patient records into a database \u2013 daily, weekly etc.<\/em><\/p>\n

Nurses\/Doctors\/Clerks etc can then simply type in the surname (sometimes the first few letters) of a patient\u2019s name into a special dialog box prompt to have the patient\u2019s full name appear. Then s\/he would click on it (or select the name from a drop down menu) to have the patient\u2019s personal information and medical history displayed \u2013 within seconds!<\/p>\n

A lot more is possible with MS Excel-VB automation\u2026<\/strong><\/h3>\n

Templates for periodic reviews of (weekly etc) of cases treated, emergencies, patients referrals etc, could be auto-generated by such an app. Charts comparing different ailments treated weekly\/monthly, numbers of patients and other trending could be generated on screen and\/or ready-to-print on paper.<\/p>\n

Even better, the application could be made accessible from ANY computer connected to the hospital\/clinic\/medical centre\u2019s computer intranet<\/span><\/strong> \u2013 if one exists. That way, multiple users would be able to access it.<\/p>\n

The above are real life examples of possible ways in which custom Excel-VB driven apps can be used, that I have successfully implemented in various organizations over the past 2 decades.<\/em><\/p>\n

Final Words: Anyone Can Do It!<\/strong><\/h3>\n

The best part is that a custom Excel-VB app can be developed by ANYONE in the team, if s\/he has the needed time and training (e.g. you, as the owner or your employee).<\/p>\n

However, if competent in-house expertise does not exist, you can hire an external developer to build the app, and\/or train someone within the organization to develop custom apps in-house. The latter option is likely to result in savings of money and time especially, over the long term.<\/em><\/p>\n
